You keep information concerning each employee in the Employees section. To get to this section, simply click "Employees" in the left pane menu, or from the main menu, click on the employees icon.
To add a new employee click on "Add new employee or manager".
To modify an employee's record, click the pencil icon to the right of his/her name, or click on the name itself.
Here is the information kept on file for each employee, and what it means:
First Name
Type the first name of the employee in this box.
Last Name
Type the last name of the employee in this box.
Email Address
If this employee has an email address, and you want him or her to be emailed with his or her individual schedule (see Emailing Employees), type the email address here. Otherwise, just leave it blank.
User ID
This is where you can assign the user ID. The user ID uniquely indentifies this employee within your company. NOTE: The user ID does not need to be unique within the entire Work Schedule DOT NET system, only within your company. You choose the user ID for each employee. An employee can not change his / her password. If you want this employee to have access to the 24/7 automated Schedule HOTLINE by phone, make the user ID all numeric. If you wish to deny phone access for this employee, make the user ID all alphabetic letters or a combination of alphabetic letters and numbers. Make sure the user ID is at least five characters long.
Password
This is where you can assign the employee's password . You choose the password for each employee. An employee can not change his / her password. If you want this employee to have access to the 24/7 automated Schedule HOTLINE by phone, make the password all numeric. If you wish to deny phone access for this employee, make the password all alphabetic letters or a combination of alphabetic letters and numbers. Make sure the password is at least five characters long.
Phone
This is where you can track the employee's phone number. The employee also has access to change their phone number from their account.
Maximum Hours
Here you set a limit for the number of hours the employee should work either per week or per scheduling period. (See Rules for configuring exactly how this number is used, as it can be used in different ways). This limit is not enforced upon the manager when scheduling, but shows up in the Hours Report, and can be used by the rules in different ways. For example, you can set up a rule that makes this number a per scheduling period limit or a per week limit. In the Hours Report, you can see the employees who are over their maximum hours highlighted in red.
Maximum Daily Hours
This is for custom scheduling solutions only.
Minimum Hours
This is for custom scheduling solutions only.
Target Hours
This is for custom scheduling solutions only.
Rank
Here you can rank your employees by numbering them. (See Rules for configuring exactly how this number is used, as it can be used in different ways). This information can be used to indicate seniority or to rank performance. In the Rules, you can cause the auto-scheduler to prefer those employees with a higher numbered rank, or, conversely, those with lower numbered rank.
Active?
You can make an employee inactive by choosing "No" here. This will remove the employee from most of the drop down lists, and will dissalow the employee from logging on, but the employee can be reactivated later.
Manager Rights?
Here you can make another employee a manager by choosing "Yes". The default is "No." By giving an employee manager rights, you are allowing them full control of the schedule.
Executive Read Only?
This applies to managers only. You must answer "Yes" to the Manager Rights choice above for this to have an effect.
If you answer "Yes" to this, the user will be able to view the schedule in the manager module, but editing functions will be taken away. It is read only.

Applies only if you are using Time Off features
Here you can change the total number of allotted days off for the employee for the current year.

Applies only if you are using Time Off features
Here you can set the total number of allotted days off for the employee for next year.
Allow employee to indicate availability online
This is an override. It applies only if you have NOT allowed employees to indicate their availability online in Company Settings.
Answer "Yes" to this to allow this employee to override the general rule, and indicate his/her availability online.
Click here to remove this user
This only shows up when editing, but not when adding a user
Answer "Yes" to this to remove the user after you click "Submit".
Convenience links
There are convenient links that will take you into the schedules, timesheets, and availability profiles for just this employee.
Qualifications
You can check the boxes to indicate which locations, departments, tasks, times of day, etc. that this employee is qualified to work. This information is used in conjuction with the Rules section and will not restrict anything unless the rules, "Only schedule employees who are qualified for the shifts" is added in the Rules section.
