Tip Tuesday – Speed Up Your Scheduling (Part 1)

Welcome back to Tip Tuesday! This week we will be talking about the tips and tricks to efficiently scheduling your employees. There are 4 main features we provide to increase the speed and accuracy of your scheduling: the Recurring Schedule, Schedule Templates, Auto-Scheduling, and the Get Best Fit Tool. This week we will be specifically talking about the Recurring Schedule, but if you tune in next week you can learn about the Schedule Template.

The Recurring Schedule

If you have the same schedule every week with only minor adjustments, then the Recurring Schedule is a great feature for you to use. With the Recurring Schedule, you can make time blocks that will recur weekly. These can be time blocks that are already filled with employees or you can have open time blocks that need to be filled each week. For example, if you always need two people to open up your store, then you can have two open time blocks so you can assign the employees per week or you can set the same two people to open up each day. By looking at the picture below, you will see that I have 2 shifts that are opening the store each day, on Tuesday they are both Open Times, which means they need to be filled every week that you initialize them into the schedule. However, the two on Wednesday are already filled with employees so these same employees will open the store every Wednesday unless a change is made.

Once you have your Recurring Schedule set the way you want it, you just need to initialize this into the Current Schedule for each week. In order to initialize the Current Schedule with the Recurring Schedule, make sure to be in the Current Schedule, click ‘Edit’ then click ‘Initialize this view with time blocks from the Recurring Schedule’. This will copy every time block from the Recurring Schedule and paste it into the Current Schedule as is. Then you simply need to adjust the time blocks for that specific week, if need be, and post the schedule!
