Tip Tuesday – Speed Up Your Scheduling (Part 2)

Welcome back to Tip Tuesday! This week we will be continuing our series on the tips and tricks to efficiently scheduling your employees. This week we will be specifically talking about Schedule Templates, but if you tune in next week you can learn about our Auto-Scheduling feature.

What are templates?

Some businesses utilize rotational schedules or have specific seasonal needs. These are situations best met by using a Schedule Template. A Schedule Template lets you have multiple pre-built schedules on hand to apply when needed. You can have as many as you like and they can span anywhere from 1 day to weeks at a time! These templates are very similar to the recurring schedule and you set them up the same way.

How do I create a template?

To create a template start by clicking on the template link in the Setup menu on the left side of your screen. Then click ‘Add new template’. Create a name to describe the template, set the start date, and set how many days this template will fill. One important thing to note is the date you pick for your template to start on, will set the day of the week that it will always start on. For example, if you pick the start date of the template to be 11/10/2015, then your template will start on a Tuesday.

How do I put my template into the current schedule?

In order to implement these templates you can initialize them directly into the current schedule like you would do for the recurring schedule. Navigate to the current schedule, click the edit drop down, and select ‘Initialize this view with time blocks from’. Hovering over this option will bring up a new drop down with all of your templates so you can pick one. The picture below illustrates how to do this with a template named ‘Tip Tuesday’.

 

Once you do this step and confirm that you want to initialize the current schedule with these shifts, they will be automatically populated into the current schedule where you can make slight adjustments or simply post the schedule. You can even pull in multiple templates into the current schedule.
