Tip Tuesday – Swap / Sign Up Employee Side

Welcome back to Tip Tuesday! This week we will be talking about the settings for swap/sign up feature from the employee point of view.

Once your manager turns on the swap/sign up feature and posts this weeks schedule, you will be able to swap, take, or give any shift you want, and depending on the settings, you may be able to sign up for a partial shift.

Follow these steps on how to use the feature:

Swap:

After selecting “swap” in the menu on the left side of your screen, you will be in the swap mode in the schedule. Once you know what shift you want to swap, you can select to “take” an employee’s shift or “give” your shift, or you can select to do both! Once you select any of these options, there will be a banner that appears at the top of the page for you to either send or withdraw your request. It will look like this:

Once you send your request, you must wait for your coworker to accept or decline. When she signs on, this alert will appear on her home page:

Upon selecting this message, she will have the option to accept or decline your request.

Sign up:

When there is an open shift in the schedule and your manager has allowed you to access the sign up feature, you will be able to select “sign up” in the menu on the left side of your screen. This will bring you to the sign up mode of the schedule. You will only see shifts that have no one assigned to them and are considered “open”. Once you click “sign up” on the desired shift, you will be prompted with one of two pages, depending on the settings set by your manager or administrator.

If you have access to sign up for partial shifts, you will be able to sign up for either part of a shift or the entire shift. Therefore, you will see this window upon selecting sign up:

If you do not have have access to sign up for partial shifts, you will see this window upon selecting sign up:

You can then select “sign up for this shift” and will either be immediately signed up or your manager will have to approve it depending on your settings set by an administrator or manager.
